Weekly RCR Audits
As we strive to improve room assignment and change processes, Resident Assistant Directors (RADs) will complete weekly audits of all room change paperwork specifically comparing key cards, Room Condition Reports (RCRs) and the most current excel roster for their area.
If a key card is missing or incorrect, the Senior Coordinator should be notified immediately. Please note key cards could be in the building box or in the processing or lock-out boxes. Key-cards in the processing box are for students actively occupying two rooms during an active room change. Key-cards in the lock-out box are for students who have a second key checked out for a 24 hour or less time period. All other keycards should be in room order number in their building box.
If a RCR is incomplete or missing, the RAD should follow up with the RA of that floor. RA’s have 48 hours from the time of room change notification to complete a RCR. If RCRs are not being completed in a timely manner RADs will need to meet with the RAs for disciplinary action. If “extra” RCRs are found they should be submitted to the Senior Coordinator immediately (once verification has been done that the student is officially checked out & not in a “processing” move).
If the current excel roster is incorrect discrepancies should be reported to the Assistant Director.
All audits should be submitted to the Resident Assistant Director supervisor when completed. Blank hard copies will already be provided in the Resident Assistant Director manual and electronic copies will be provided in the Resident Assistant Director forms folder.
