DUTY/ON-CALL PROCEDURES
PROFESSIONAL STAFF: includes the Director, Assistant Directors and Graduate Assistants. Professional staff members are responsible for on-call coverage 24 hours a day seven days a week during which time they are accessible via cell phone (one professional staff per week). During evening and weekend hours the Resident Assistant (RA) On-Call is the first line of contract but professional staff are also on-call and able to respond to any issues or concerns in which the RA may need assistance.
RESIDENT ASSISTANT DIRECTORS (RADs): are the graduate/undergraduate RA supervisors. RADs are responsible for on-call coverage 24 hours a day seven days a week during which they are accessible via cell phone (one RAD per week). RADs are responsible for making sure Resident Assistants check-in for duty every night and will also perform rounds with Resident Assistants three nights a week during which they will do one round each in every area on main campus. RADs can be called with general informational questions. All issues/concerns regarding policy violations should still be directed to professional staff. RAD duty runs 8am-8am and according to RAD schedules may run from 8am Monday to 8am the following Monday (one week) or on a daily basis 8am-8am.
Resident Assistant Directors are expected to visibly wear Residence Life shirts, polos or jackets while conducting rounds.

Duty Radius is a maximum of 10 minutes away from campus (10 minute response time)

RESIDENT ASSISTANTS: serve an important role in assisting with the safety and security of students by being on-call. Having RAs On-Call meets the following objectives:
· Ensures a RA is available in the event of an emergency
· Provides the opportunity for RAs to be visible to residents
· By doing rounds, the RA can identify and/or confront situations before they become more serious
· Sends the message to students that RAs are concerned about their safety and well-being
· Provides an extra set of eyes and ears to detect potential problems
· Provides support to residents who may need assistance (lock-outs, maintenance concerns, etc.)
Duty will be scheduled on a rotating basis for the semester. It is up to the staff members to ensure equality and complete coverage for each building/area.
On-Call Hours (when RA’s must remain in their assigned area) are:
1. Sunday through Wednesday 8:00pm-7:00am
2. Thursday through Saturday 9:00pm-7:00am
Desk Hours (when RA’s must remain at the duty desk/ or be doing rounds) are:
1. Sunday through Wednesday 8:00pm-Midnight
2. Thursday through Saturday 9:00pm-1:00am
Two RAs are required to be on-call at all times for Henderson/Benoit, Apartments 1/2 and Apartments 5/6. Two RAs are required to be on call for all weekends in Roderick/Alumni and Apartments 1/2, those areas only have one RA on call for weekday nights. East Campus always has solo duty. Marmion/Snyder has two RA's on duty through October and then for weekdays only drop to solo duty for the remainder of the academic year. RAs must stay in their Area during their entire shift.
RESIDENT ASSISTANT DUTY RESPONSIBILITIES
· Resident Assistants are responsible for calling in to the RAD on-call (see calendar below) between 5-15 minutes PRIOR to duty hours beginning.
· Conduct rounds of area facilitity a minimum of three times, one at the end of the desk shift
· Make sure exterior doors are locking properly and are not propped
· Serve as first contact by responding to any calls immediately
· Notify Professional Staff On-Call of any serious incidents or when assistance is needed
· Notify Campus Safety for any violations of law and/or when additional assistance is needed
· Document all incidents
· Remain in their assigned area during the entire shift.
· In Areas where 2 RAs are on duty, all rounds and addressing incidents must be handled as a pair. A lock out or minor quiet hours violation are
the only events that do not require both RAs to be present.
· RAs are expected to carry their cell phones on them while on duty.
· RAs must be sitting at the desk/designated area when not on rounds. If it is necessary to leave the desk for any reason, please notify the
professional staff on-call and Campus Safety. RAs in East Campus sit duty in their room unless otherwise instructed.
· After desk hours are completed, the RA on duty must be in his/her room or lounge area until 7:00am the following morning.
PROPER ATTIRE
While serving in an on-call capacity, RAs are expected to wear Residence Life polo shirts or duty t-shirts. This is especially important when doing rounds and responding to situations so that residents and guests are able to tell the difference between staff members present versus other students.
DOING ROUNDS
RA's must do a minimum of THREE rounds each night. Two must be during desk hours, the last one begins when desk hours end. Rounds assist in providing a safe living learning environment for residents. During each set of rounds, RA's should:
· Walk all community areas (floors, lobbies, laundry rooms, stairwells, community/public restrooms, etc)
· Interact with residents
· Check fire equipment to ensure it is properly functioning, report concerns or discharged fire extinguishers

· Turning off lights and televisions left on in lounge areas if they are unattended
· Checking all common areas including lounges and laundry rooms
· Report any lights out or other maintenance concerns
· Enforce quiet hours
· Note damages done to the building
· Ensure all exterior doors are locked and secured
· Discard old flyers
· Briefly chat with residents
This list is not all inclusive and each area is set up differently. Supervisors will provide additional training and guidance related to properly completing rounds in your assigned Area.

- Submit e-mail duty log each morning before 10am

Duty Exchange Protocol
- Exchanges must be approved at least 48 hours before duty begins; professional staff will adjust accordingly on the online calendar
- Emergency swaps must be approved by the professional staff on duty
Electronic Duty Log
- After each evening of duty, the RAD on duty should email a list of the evening’s events including RA check-in, facility concerns, student concerns and staff concerns to the designated duty log distribution list
- Electronic logs should be sent by 10am the morning following duty
- Each RAD should read the Electronic Duty Log regularly. If an RA violates policy (including being late to check-in), conversations and documentation of RAs should be handled appropriately and in a timely manner
